Choosing the Right Type of Location for an Outdoor Performance
The right venue affects the mood and experience of a show or performance, so it's only right to think through it carefully. With a remarkable venue, your audience will connect more with the event, and your performers will have the conditions they need to shine. Here are five outstanding venue types worth considering:
Estate Grounds – Grand and Unforgettable. A private estate with big lawns and beautiful landscaping makes your outdoor performance feel prestigious. The grounds are usually very spacious, so you'll have enough room for a stage, plenty of seats, and movement.
Urban Rooftops – Edgy and Electric. If you need something more modern-looking and contemporary, a rooftop venue is a good choice. The city skyline becomes your backdrop, and the open-air setting adds an exciting energy that the crowd will love. Perfect for shooting band music videos!
Historic Courtyards – Timeless and Atmospheric. There's nothing quite like performing within the stone walls of a historic courtyard. The natural acoustics, the sense of history, and the architectural detail combine to give any production an almost theatrical quality. It's an ideal location for acoustic ballad performances.
Park Amphitheaters – Classic and Community-Centered. Amphitheaters inside parks offer tiered seats, excellent views of the stage, and a fun yet relaxed atmosphere. They're perfect for live concerts and summer music festivals.
Private Garden Spaces – Intimate and Enchanting. For smaller, more personal performances, a well-kept private garden creates an intimate atmosphere, making it easy for the audience to connect with the music. The natural beauty also means you don't need to decorate the venue as much.
Essentials for an Outdoor Performance
Choosing the right venue is only a small part of the planning process, yet it plays a significant role in the success of the show. The important thing to remember is that the venue should not only look impressive, but also have the amenities and features to make your show successful. Before you commit to a space, make sure it checks the boxes that matter most for a smooth, professional outdoor performance.
Does the venue have a reliable sound system? You'll want great lighting for the areas surrounding the screen as a safety precaution, but fabulous sound quality is essential. Of course, high-quality audio is non-negotiable for any live performance. Look for venues that offer existing sound equipment, electrical hookups for your own gear, or natural acoustic advantages. Poor sound can undermine even the most talented performers!
Is the stage or performance space big enough for the performer/s? Double-check the size and layout of the performance area carefully. You need enough room for your performers to move freely, for equipment to be set up safely, and for your audience to have clear views from every angle.
How accessible is the venue for your audience? There should be an available parking site that can accommodate the attendees. At the very least, it must also be accessible by public transportation. Is it within walking distance of a big neighborhood or business hub? An incredible show may lose its impact if half your audience struggles to get there or can't find a comfortable spot to watch, so don't neglect this aspect.
How to Plan an Outdoor Performance
For any show or performance to be successful, it needs to be planned well in advance—even more so for an outdoor performance, where external elements cannot always be controlled. When you take the time to plan every little detail of the show, you give yourself room to handle surprises gracefully.
Lock in Your Budget First – Every event plan starts with a clear budget. Know how much you can afford to spend on a venue before you start booking. Other than the venue, factor in your equipment needs, rentals such as tables and chairs, and talent fees from the start.
Book Your Venue Early – Outdoor performance spaces—especially the standout ones—get booked up fast. Once you have a date and a rough headcount of attendees, start your venue search immediately. Use Giggster to compare options, check availability, and communicate directly with hosts to confirm the details.
Plan for Weather Contingencies – A good thing about renting an outdoor venue is that with natural light, you can skip renting lighting equipment. However, outdoor events are at the mercy of heat and rain, too, so make sure to have a backup plan. Ask your venue about covered areas, tents, or indoor venue alternatives where you can take shelter.
Oversee Your Technical Setup – Make sure to arrive early on event day to test all your equipment—sound, lighting, and staging elements—before your audience arrives. Run through the setup with your team, so everyone knows where they need to be and when.
Outdoor Performance Hidden Costs
Even the most carefully planned outdoor performance can run into unexpected expenses—it's just the nature of event planning. It's always worth taking a thorough look at your budget versus your projected expenses before you finalize your plans.
Have you accounted for permits and licensing?
Depending on your location and the scale of your event, you may need specific permits. These can take time to process and carry fees, so check the requirements early and factor the costs into your budget.
What about equipment rental and technical costs?
If your venue doesn't include sound or lighting equipment, you'll need to rent it separately. Generator rental, staging hire, and audio-visual technician fees will add up quickly, so get quotes early.
Are you prepared for weather-related expenses?
From tents to portable heaters or fans, keeping your audience comfortable outdoors comes at a cost. If you're planning an event during an unpredictable season, include weatherproofing expenses as a standard part of your budget, not an afterthought.
