Chicago Library Location Must-Haves

Before you can decide whether a meeting room or a library is perfect, you've got to think about certain essential features that are a hundred percent required.

What's the meeting room capacity? The meeting room capacity varies from place to place, and your needs will vary too, depending on whether you're shooting a lecture scene for a film or a quiet and cozy interview between two people.

Is food allowed within the venue? Most regular libraries don't allow food, but if you're planning a conference, then some food and refreshments are definitely required. They're often even capped off by a seated dinner where a full catering staff waits on the attendees.

What equipment and features does it have? What's a study room without tables and chairs, right? Even if you're shooting in a quiet little home office, bookshelves overflowing with books and a warm and cozy atmosphere are a must.

Pros and Cons of Events at Chicago Library Locations

Chicago's a great city with a wide range of venues, whether that's old wood-paneled libraries or new state-of-the-art meeting rooms. But every kind of location has its own pros and cons.

Advantages

  • Unlike big public libraries where you'll surely be required to produce a current photo ID matching the name on the reservation and carry it around all the time, these smaller settings won't have all those formalities attached.

  • Chicago's a big city with a vibrant cultural and architectural background. The meeting room capacity varies from venue to venue, but there's no doubt you'll find a library or study room to meet your needs.

  • In addition to that, if you're planning conferences or workshops, you'll have no issues finding vendors to lend their services for the event.

Disadvantages

  • It's an extremely specific type of location, so you shouldn't be surprised if there's a limited number of such venues. Book way in advance so you don't miss out on finding the perfect spot.

  • There are a ton of rules, restrictions, and noise limits that you have to adhere to when you book a library space.

  • It won't have the kind of equipment and technical support that a studio and its staff can provide. So there might be some challenges involved in shooting in such event spaces.

How to Plan a Library Event

Planning any kind of event can be a stressful exercise, especially when it's a big public location like a library. But if you're just organized about it, it doesn't have to be that intimidating.

Set Your Goals – Whether you're organizing a series of lectures or doing a film shoot, decide in advance what you want out of the session, including the number of people who'd be attending or the sort of theme the film is going for.

Make a Reservation – Once you have your goals and your budget in place, you can check out all the 21 study rooms and libraries on Giggster and find the right one.

Hire Crew and Vendors – Any kind of event or shoot is accompanied by a whole host of people, from food services to cameramen and light technicians. Make sure their schedules line up with yours and that there aren't any clashes.

Think About Logistics – Filming a seated dinner at a historic mansion, followed by a library scene? You'll need to rent out all kinds of props. There's also the matter of parking for the crew vans and setting up the lights. Planning logistics is essential!

How to Save Money on a Library Rental in Chicago

When you can book venues at just $35/hour, don't stop there! Here are some other ways of cutting down on costs.

Work out a budget.

It's probably the most boring part of planning anything, but we can promise that this will turn out to be a very helpful step!

Book a venue far in advance of the shoot.

Not only are you much more likely to find the best budget venues this way, but if you start planning early, there's also a greater chance of getting discounts and deals than if you leave it to the last minute.

Make maximum use of features and amenities.

From tables and chairs to huge oak bookcases or large windows that let in natural light, don't hesitate to use all the resources available at your fingertips in the meeting room or library.

Hire locals for the event.

It's Chicago, and there's no shortage of talent. It works out to be much cheaper than if you're flying in pro cameramen or cast members from New York or LA.
