Things to Consider for a Gala in Boston

Want to be darn sure you’re making the right choice? Combing through this quick pros/cons list of hosting in Boston, Massachusetts will help you make an educated decision and navigate any quirks (or highlights) that might come along with one of our premium event spaces.

Advantages

  • Assuming your gala is a catered affair, you’ve come to the right place. Boston is known for having a vibrant and varied foodie culture, with award-winning restaurants of almost every cuisine.

  • Boston’s crime rates are relatively low, and it ranks among the best in the country when it comes to the safety of solo female travellers, so you won’t need to worry (too much) about your attendees.

  • Boston boasts plenty for you (and your guests) to do while staying in the area. The Harvard Art Museum? The theater? Your weekend travel itinerary has never looked better.

Disadvantages

  • Life in Boston isn’t cheap. While this will probably translate to higher costs for you as a host, it will also be a little harder on your guests’ wallets if they're planning an overnight stay.

  • Winters are frigid, as are the fringe weeks of early spring and late fall. Be sure you have a coat check set up where guests can ditch their boots and jackets, because just a suit or slinky dress won’t cut it against the cold.

  • Boston traffic is no jokeespecially during rush hour or the winter months when snow removal is a concern. Even if you skip this hassle of driving your own vehicle, allow extra commute time.

What Kind of Venue Can I Rent for Galas in Boston?

A prime location with distinctive features is the secret to curating a memorable night out. Dazzle your guests with one of these standout venue types available through the Giggster app:

Restaurant Buyouts Food and Friends. Especially when it comes to ticketed events, people expect good food. Taking your dinner directly to a local restaurant is the key to high-level hosting with a minimal budget. You don’t have to do much besides finalize the party menu with the head chef, and decor is already taken care of.

Rooftop Lounges Sky High Standards. Head in the clouds daydreaming of your grand affair? Why not use that as inspiration? If you’re looking to make your summer gala stand apart from the other events in the city, skyline views are the answer. With historic buildings abound and the Boston harbor in the distance, a rooftop lounge can help you keep it casual during daylight hours or provide a star-studded atmosphere after dark.

Banquet Halls A Longstanding Tradition. With dining tables/chairs available on site, lighting and AV equipment, and a long track record as the event experts, these venues are the ultimate low-stress planning solution. Looking for customizable packages? Some have in-house vendors available for discounted partnerships while others allow you to bring in any caterer, photographer, and DJ you prefer.

Churches and Chapels Bring on the Drama. Full of stained glass, cathedral ceilings, massive chandeliers and organs, these unparalleled feats of architecture are not just for parish fundraisers! I mean, can you imagine what this space could look like with ample candlelight and a big floral budget? Trust us, dinner and dancing in these places of worship will give off major royal banquet vibes.

How to Plan a Gala in Boston

Once you’ve made it past the inspiration phase, you’re apt to be hit in the face with a slew of coordination tasks and activities, it can be enough to make your head spin! Take some of our best advice to heart and hopefully you’ll be able to streamline your planning process and carve out some time to relax.

Fill the Room With the Right People Different groups and combinations of social circles will interact differently, leading to a completely different guest experience. Weddings are the perfect example of this. Don’t fall victim to a “bad vibe” because you didn’t coordinate your guest list accordingly. Think long and hard about who will bring some life to your special event but also who will fill in the gaps and allow others to shine, minimizing awkward interactions and even altercations.

Come Up With a Head-to-Toe Decor Plan Galas are supposed to be a little over the top and impressive, so now is not the time to skimp out. From the moment your guest walks in the doors, you will want seamless execution of your vision from floor to ceiling to leave them speechless.

Choose the Right Date Good attendance is key to a good time at large events. Trust us, empty chairs and empty rooms will be all too noticeable. Avoid major holidays like Christmas when people are likely to have other plans, but also niche times of the year that might impact the number of attendees. For example, the first week of July would be a bad time for a school fundraiser as parents and their kids, not to mention teachers, may be headed south for some much needed relaxation.

The Price is Right Is your gala a ticketed event? You’ll want to consider your audience when choosing an entry fee. While the goal is to maximize proceeds, it will also be to sell out your event. If you have a room full of students from Cambridge College, you’ll need a much lower cost than a room full of business execs or members of the Harvard club to generate sales.

How to Save Money on Your Gala in Boston

Finding an affordable space to rent is just the beginning when it comes to managing your event budget, especially when it comes to hosting a large-scale party like a gala. We’d recommend implementing some of our tried-and-true tips to save money where it matters.

Solicit donations for auction items.

If this is a fundraising gala, you’re probably no stranger to the concept of raffles and auction tables. You’ll want some impressive prizes up for grabs, and you may need to shell out for some of these on your own from your ticket profits, but you’d be surprised what people have access to/are willing to donate when they believe in a cause. Remember, the worst anyone can say is no.

Come up with a list of A-tier and B-tier vendors.

Chances are, when you start adding up the quotes from all of your preferred vendors you’ll start realizing you need to cut corners somewhere. This can be a helpful way to sort your top choices from your “acceptable” options. Make decisions about which services are most important to you and choose vendors from the A-tier. The other can be selected from the B-tier, which should help reduce the final tally.

Don’t feel limited by pre-curated packages.

In general, these packages are designed to add value and save you a bit of money on the “extras” but they are also designed to be a bit of an upsell for the vendor, which can leave you paying for some things you never needed in the first place. If you see inclusion you could live without, don’t be afraid to ask for a la carte pricing or a revised estimate with those items removed.
